Get help with your system

Choose your system

Premium, proven or budget-friendly. We'll match the system to your business.

There's no single best phone system. The right one depends on your budget, how many people you have, whether you want the system in the cloud or in your building, and what it needs to connect to.

RingCentral

Best for: teams that want everything in the cloud with no equipment to maintain.

  • Calling, business texting, video meetings and team chat in one app
  • Desk phones, cell phones and laptops all ring as one system
  • AI receptionist and call transcription options
  • Connects with Microsoft 365, Google, Salesforce and HubSpot
  • Monthly per-user subscription, nothing to buy up front

Avaya IP Office

Best for: businesses that want an on-premises system or already run Avaya.

  • Proven on-site phone system for midsize offices
  • Keeps calling inside your building and under your control
  • Support, moves, adds and changes for existing Avaya systems
  • Upgrades for supported releases, or a planned move to the cloud when the time is right

Grandstream

Best for: cost-conscious offices that want a capable system without monthly per-user fees.

  • UCM phone systems on-site, in the cloud or hybrid
  • No per-feature licensing on on-premises UCM systems
  • Free Wave app for calls on computers and phones
  • Affordable desk phones, cordless DECT and conference phones

Sangoma

Best for: budget-minded businesses that want flexibility, on-site or hosted.

  • Switchvox: an all-in-one business phone system, on-site or cloud
  • FreePBX: the widely used open-source phone system, built on Asterisk
  • Sangoma P-Series desk phones that set up automatically
  • Low cost of ownership with no lock-in to one carrier

Cloud or on-site

How the options compare.

Cloud systems like RingCentral are paid monthly per user. There's no phone server to buy or maintain, upgrades happen automatically, and calls ring anywhere your team has internet, which helps when a snowstorm keeps everyone home or staff split time between job sites.

On-site systems like Avaya IP Office, Grandstream UCM and Sangoma Switchvox or FreePBX cost more up front for the hardware but little or nothing per user each month afterward. Over several years that often works out cheaper for offices with stable headcount, and calls inside the building keep working even if the internet goes down.

Grandstream and Sangoma are our go-to choices when budget matters most. They deliver the features most small offices actually use, like auto attendants, ring groups, voicemail to email and mobile apps, at a fraction of the cost of premium systems.

During your free assessment we'll price out the options side by side, including phones, licenses, internet requirements and five-year cost, so you can choose with real numbers.

FAQ

Common questions

Which phone system is best for a small business?

It depends on budget and how you work. RingCentral suits teams that want everything in the cloud with a monthly subscription. Grandstream and Sangoma are strong budget choices with low ongoing costs. Avaya IP Office fits offices that want an on-premises system or already have one. We'll recommend one after looking at how your business uses the phone.

What's the cheapest business phone system?

For many small offices, a Grandstream UCM or Sangoma FreePBX system has the lowest long-term cost, because you buy the hardware once and avoid monthly per-user fees. You still need phone lines or a SIP trunk from a carrier, which we can arrange.

We have an older Avaya system. Can you support it?

Yes. We can support your existing Avaya IP Office, handle moves, adds and changes, and help you decide whether to upgrade to a current release or migrate to a cloud or budget system. Older releases receive limited support from Avaya, so it's worth checking where yours stands.

Can we keep our current phone numbers?

In almost all cases, yes. Numbers are moved (ported) to the new system, and we coordinate the timing so your lines don't go dark.

What happens to the phones if the internet goes down?

Cloud systems can fail over automatically to cell phones or another location, so customers still reach you. On-site systems keep internal calling working, and can use a backup line or connection for outside calls.

Does RingCentral work with Microsoft Teams?

Yes, RingCentral offers Microsoft Teams integration, so your team can make and take business calls from Teams. We'll set it up alongside your Microsoft 365.
