What to Do When Your Phone System Vendor Goes Out of Business

Protect your numbers, recover access to your system, and keep customers able to reach you.

Many businesses find out their phone vendor has closed the same way: something breaks, they call for support, and they reach a disconnected line or a recording. Your phones may keep working for now, but nobody is maintaining them, and the things your business depends on may be in someone else's name. Here's what to do, in order.

1. Protect your phone numbers first

Your main number is printed on your website, vehicles, cards and Google listing. It's the hardest thing to replace. Look at your recent phone bills and find out who actually provides your phone lines or SIP service. If the bill came from your vendor rather than a carrier in your name, that service could be cut off once the vendor stops paying its bills, and a disconnected number can be hard or impossible to get back.

The fix is to port your numbers into an account your business owns. Do it before anything lapses.

2. Find out who controls your system

  • Cloud systems like RingCentral keep running regardless of your installer, but check that someone at your business has an administrator login and that the account and billing are in your business's name.
  • On-site systems like Avaya IP Office keep running on equipment in your building. You need the administrator passwords, a backup of the configuration and a record of your licenses.

3. Write down what you have

Make a simple list: the phone system brand and model, how many phones, your main numbers, who provides your internet, and any login details you can find. It will save time and money with whoever helps you next.

4. Set up a fallback

Ask your carrier or cloud provider to forward your main number to a cell phone if the system goes down. That way customers can still reach you while it's fixed.

5. Decide what's next, without rushing

Once your numbers and access are secure, you have time to decide whether to keep and support your current system, upgrade it, or move to something new. A reputable provider will price out the options rather than push you into a replacement.
